Legal Secretary – Private Client

About the Role:

On behalf of a prestigious local law firm based in Belfast, we are currently recruiting an experienced Legal Secretary. This well-established firm is renowned for its excellence in private client work locally, and they are seeking a dedicated professional to support their solicitors with a variety of legal and administrative tasks.

Responsibilities:

  • Document Management: Draft, format, and proofread legal documents, correspondence, and reports, particularly focused on property transactions and private client matters.
  • Client Interaction: Serve as the first point of contact for clients, managing inquiries, scheduling appointments, and ensuring a positive client experience.
  • File Organisation: Maintain both electronic and physical client files, ensuring they are well-organised and up-to-date.
  • Diary Coordination: Manage the solicitors’ diaries, scheduling meetings, court appearances, and property completions.
  • Conveyancing Assistance: Provide essential support for property transactions, including preparing contracts, liaising with estate agents, and managing documentation.
  • Financial Administration: Prepare and process invoices, manage client accounts, and maintain financial records related to legal work.
  • General Office Duties: Handle general administrative tasks such as photocopying, scanning, answering phones, and ordering supplies.

Key Skills & Qualifications:

  • Experience: A minimum of 2 years of experience as a Legal Secretary, ideally within the areas of property or private client work.
  • Technical Proficiency: Strong skills in Microsoft Office Suite and legal software (e.g., case management systems).
  • Attention to Detail: Exceptional accuracy and attention to detail in all aspects of work.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
  • Organisational Skills: Strong organisational abilities, capable of managing multiple tasks and deadlines efficiently.
  • Confidentiality: A high degree of confidentiality and discretion when handling sensitive information.
